Presentation of Annual Reports followed by the election of Committee members for 2025/26.
All members are invited to the 2025 Annual General Meeting of the Pakenham Auto Club Inc
The meeting will include the presentation of annual reports and the election of Committee members for 2025/26.
Any member 18 years old and over is eligible be a member of the Committee and any member 15 years and older is eligible to vote.
Nomination of a Proxy
- · Members can nominate a proxy for either:
- o All resolutions /elections undertaken at the meeting
- o A specific resolutions /elections undertaken at the meeting (eg vote for president)
- o See Rule 34(3)
- · To be valid the Nomination Form must include the name of and be signed by both the nominator and nominee
- · Paper Forms must be lodged with the Chair of the meeting before or at the commencement of the meeting See rule 34(6)
- · Any Form lodged electronically lodged must be received 24 hours before the commencement of the meeting. See rule 34(7). Form can be sent to: secretary@pakenhamautoclub.org.au

- · Members can be nominated for:
- o the Executive Positions:
- § President
- § Vice President
- § Treasurer
- § Secretary or
- o Ordinary Committee Member
- · To be valid, the Nomination Form must include the name and be signed by both the nominator and nominee
- · The Form must be lodged with the Secretary prior to the commencement of the elections
- · The Form can be lodged at the AGM or forwarded to secretary@pakenhamautoclub.org.au

Relevant Rules of Association
Voting:
Any member 15 years of age or more is eligible to vote
Rule 14 Associate members
(1) Associate members of the Association include—
(a) any members under the age of 15 years; and
(b) any other category of member as determined by special resolution at a general meeting.
(2) An associate member must not vote but may have other rights as determined by the Committee or by resolution at a general meeting.

A member is eligible to be elected or appointed as a committee member if the member—
(a) is 18 years or over; and
(b) is entitled to vote at a general meeting.
Use of Proxies
Rule 34 Proxies
(1) A member may appoint another member as the member’s proxy to vote and speak on the member’s behalf at a general meeting other than at a disciplinary appeal meeting.
(2) The appointment of a proxy must be in writing and signed by the member making the appointment.
(3) The member appointing the proxy may give specific directions as to how the proxy is to vote on the member’s behalf, otherwise the proxy may vote on behalf of the member in any matter as the proxy sees fit.
(4) If the Committee has approved a form for the appointment of a proxy, the member may use any other form that clearly identifies the person appointed as the member's proxy and that has been signed by the member.
(5) Notice of a general meeting given to a member under rule 33 must—
(a) state that the member may appoint another member as a proxy for the meeting; and
(b) include a copy of any form that the Committee has approved for the appointment of a proxy.
(6) A form appointing a proxy must be given to the Chairperson of the meeting before or at the commencement of the meeting.
(7) A form appointing a proxy sent by post or electronically is of no effect unless it is received by the Association no later than 24 hours before the commencement of the meeting.
